What to put on a pest control invoice

  • Your business details: name, address, phone, email, and your business license number if your state issues one.
  • Invoice number, date and due date: numbered in sequence, so you and your bookkeeper can track every payment.
  • Customer, billing address and service address: they are often different for landlords, property managers and commercial accounts.
  • Service plan and report number: link the invoice to the service report of the visit, so the customer sees what they are paying for.
  • Line items: date of service, service, short description, quantity, unit price and line total.
  • Discount and sales tax: some states charge sales tax on pest control services, some do not, and some only on certain services or commercial accounts. Check with your accountant.
  • Payment methods and terms: an online payment link, check or transfer, when payment is due, and your late fee policy if you have one.

How to invoice recurring pest control plans

The invoice points to the service report, shows the free callback instead of hiding it, and says how and when to pay.

Report and invoice sent before you leave

Is the pest control invoice template free?

Yes. Download the spreadsheet with no email, no sign-up and no watermark, and add your own logo and details.

Do I charge sales tax on pest control services?

It depends on the state, and sometimes on the type of service or customer. Some states tax pest control services and others do not. Check with your accountant or your state's revenue department.

Should the invoice list the products I applied?

It is not usually needed on the invoice: product details belong on the service report and in your application record. Link the invoice to the report number so the customer can find them.

Can I use the same template for commercial accounts?

Yes. Use the service address line for the location, add the customer's purchase order number if they use one, and invoice per visit or per month as agreed in the contract.
